Information we collect

We collect information that parents, guardians, applicants, teachers, and staff provide to operate the Sunday School program. Depending on the service used, this may include:

• Parent or guardian name, email address, and telephone number.
• Student name, date of birth, grade, requested ROIS level, enrollment status, and related application notes.
• Attendance records, including present, tardy, and absent designations.
• Application references, admissions decisions, status history, and staff notes.
• Parent and teacher agreements, acknowledgements, and digital signatures.
• Information submitted when contacting the school or requesting support.
• Basic technical data necessary to operate and protect the website, such as cookies, browser information, and IP address logs maintained by WordPress or our hosting and security providers.

Parents should provide only information that is accurate and necessary for school operations.

How we use information

ROIS uses this information to:

• Process applications and communicate admissions or waitlist decisions.
• Create and maintain student rosters, class placements, schedules, and attendance records.
• Communicate with families about school activities, requirements, tuition, and student participation.
• Record required parent, teacher, and volunteer agreements.
• Provide the secure Parent Hub and recognize related family records.
• Administer the website, prevent misuse, troubleshoot problems, and improve school operations.
• Meet legal, safety, accounting, or organizational obligations.

ROIS does not sell family or student personal information.

When information is shared

Information is available only to people who need it for legitimate school operations, such as authorized administrators, board members, teachers, and service providers. We may use third parties for website hosting, forms, email delivery, security, maps, fonts, and payment processing.

Online card payments are completed through an external hosted payment form. ROIS does not store full credit-card numbers in its custom WordPress tables. Zelle or other payment providers process information according to their own terms and privacy notices.

We may also disclose information when reasonably necessary to protect a student or another person, investigate misuse, comply with law, or respond to a valid legal request.

Children’s information

Student information is supplied by parents or guardians for enrollment and school administration. The website is not designed for children to create independent accounts or submit personal information directly. Parents who believe a child submitted information without appropriate permission should contact ROIS so we can review it.

Security and retention

We use reasonable administrative and technical safeguards, including restricted staff access, permission checks, secure links, signed sessions, and encrypted website connections. No online system can guarantee absolute security.

ROIS keeps information for as long as reasonably needed for school operations, student history, agreements, financial administration, safety, dispute resolution, and legal obligations. Records may be archived instead of immediately deleted when preserving school history is appropriate.

Parent Hub access links expire after a short period and may be used only once. A successfully verified device may remain signed in for up to seven days. Families should not request access from a shared or public device.

Your choices and requests

A parent or guardian may ask ROIS to review or correct family contact information, request a copy of information associated with their family, or ask whether information can be deleted. Some records may need to be retained for operational, safety, contractual, or legal reasons.

You may disable browser cookies, but the Parent Hub and some WordPress features may not work correctly without them. You may also choose not to use external payment links and contact the school about available alternatives.

External websites

The ROIS website may link to third-party websites, including payment, membership, map, curriculum, or community services. Their privacy practices are controlled by their respective operators, not ROIS.

Policy updates

We may update this notice as school practices or website services change. The effective date at the top of this page identifies the current version. Material changes will be communicated when appropriate.
